OSH Event Planning Committee Meeting – YWCA Hamilton, 75 MacNab Street South, Rm. 108

**Immediate Volunteer Call Out**

Beasley Fair, Saturday, April 20th, 12pm to 3pm – Beasley Park (Wilson & Mary) – ask for Bill (dress for appropriate weather – this is an outdoor event)

Mention of rotating Chair (Sunil absent, no pre-selected co-Chair), no decision

 

Review of last meeting

    • Present from last meeting: Bill, Mike and Sandra

    • Road Closure issue was sorted – Mike

  • full road closure from King to Guise confirmed

    • print sponsors?

    • no YWCA reps re: programming/outreach updates

    • t-shirt sales update – Bill

  • inventory notes given to Sandra – full count next meeting

    • Eileen and Lina – both responded to last call out re: volunteer roles

  • Lina (met with Kathryn on Monday April 15th) – helping with programming follow up (online sign up form), available on Mondays, will work from home

  • Eileen (sent email on April 11th) – willing to help with scheduling event volunteers, May Art Crawl, Bike for Mike (needs details on location)


Fundraising Initiative

    • Coffee

  • Coffee cards (“I, __________, donate a portion of this coffee sale to Open Streets Hamilton…”) available at Homegrown Hamilton – portion of bag of coffee sales goes to OSH

  • Online – link is http://www.homegrownhamilton.com/shop (put information about OSH donation in comments section or delivery/contact information boxes)

  • paper order forms – Kathryn to find them and send them out

    • Peter Ormond made original contribution for shirts

    • Only smaller sizes left – Bill recommended printing larger sizes

Outreach & Promotions

  • Leshia reviewed Bike for Mike group and “Yes We Cannon” efforts for segregated two-way bike lanes on Cannon – more information to be provided at launch (Bike for Mike)

    • Motion: to include “Yes We Cannon” and other like-minded groups to share human resources in an effort to get OSH word out

  • moved by Mike Cameron, seconded by Bill, motion carried.

 Administration and finances

  • Eileen is interested in helping with admin, taking notes at future meetings

  • Eileen is involved with Take Back the Night, has contacts that might be helpful for us

  • Suggested that OSH revisits vendor fees, possibly increase them to help cover costs

 Walk a Mile in Her Shoes:

  • Website and facebook content is up and running

  • Past walkers and participants have been contacted

  • New promo video being developed

  • Revamped logo, promotional materials being developed

  • Sunil to coordinate with Leslie on outreach + logistics

  • Alex to see if we can get contact list for athletics and activities groups at McMaster

  • YWCA bringing additional programming and activities to the street this year

  • Suggested that OSH should ask Hamilton Spectator to be an in-kind sponsor

  • Walk a Mile might be able to help print some promotional materials for us in-kind

 Bringing more activities to the event

  • People are drawn to the event because of it being family-centric, giving back to the community

  • Cassandra can help source out activities, recreational programming for the event

  • Connect us with youth groups

  • OSH is trying to bring more activities to the street, ie sports, recreation for families and youth

  • OSH is purely volunteer-run this year, so we need more support and volunteers to help organize the event

  • Looking for volunteers to help with outreach and administration, contacting exhibitors

  • Trying to get YMCA’s Y on Wheels to participate at the event

  • Sunil to circulate various forms, sign up links for people to circulate

 Media:

  • Cable 14 can do a spot on OSH closer to the event, plus a spot on the Bike Valet program as well

  • Mike looking into Cable 14 sponsoring the Kiwanis Skateboard park at OSH

 Other suggested groups to contact to attend OSH June 2013:

  • Rollerskate rink at the Waterfront
